What are permissions, and how do I assign them to a user?

How to add or remove permissions to a user account: what Viewer and Editor mean, how the All toggle works, and what to do if a permission is missing.

Permissions define which parts of AGOA a user can open, and what they can do there: only look (Viewer) or also make changes (Editor). This article explains how to add or remove permissions to a user account. You do it in the Permissions section of the user form in the Backoffice. This field is required (marked with *).

How to add or remove permissions to a user account

  1. Go to the Backoffice and open the Users section.

  2. Create a user, or open an existing one.

  3. In the Permissions section, tick the features the user needs, in the Viewer row, the Editor row, or both. To remove a permission, untick it.

  4. Click Save.

Tip: hover the small i icon next to a feature to see what it gives.

Interface, Viewer and Editor

The permissions table has three columns:

  • Interface: the part of the platform. The interfaces are Analytics, Backoffice, Compliance, FIDS, Invoicing, OCC, Station, and Station Journal.

  • View / Edit: Viewer lets the user see information without changing it. Editor lets the user also input or change information.

  • Features: the detailed permissions inside each row.

Editor includes Viewer. When a feature is ticked in an Editor row, the same feature is ticked automatically in the Viewer row and greyed out. To remove it, untick the Editor box.

The "All" toggle

Each row has an All toggle. It selects every feature of the row at once. Some rows (for example Compliance, OCC, and Station Journal) have no individual features: for them, the toggle is the only control.

What each Backoffice permission gives

  • Critical Paths
Viewer: review critical paths, without the ability to make changes.
Editor: create and edit critical paths. The user can add and remove tasks, change targets, and edit sub-tasks.

  • Flyers
    Viewer: review turnaround flyer recipients.
    Editor: choose turnaround flyer recipients.

  • Reports
Viewer: review the PDF template of the reports.
Editor: set up and edit the PDF template: choose recipients and hide or display task information.

  • Schedules
    Viewer: review manual flight schedules.
    Editor: create manual flight schedules.

  • Special Operations
    Viewer: review special operations settings.
Editor: create new special operations and edit existing ones (for example, crew change or remote parking stand).

  • Task Access
Viewer: review which user positions can access each task.
Editor: choose which user positions can access each task.

  • Users
    Viewer: review existing user accounts.
Editor: create and edit user accounts, and reset passwords.

  • Vendors
    Viewer: review vendors' contact details.
Editor: add and edit vendors' contact details.

What each Station permission gives

Each Station feature gives only what its description says. For example, Basic access alone does not include reports, the arrival/departure tabs, past flights older than 48 hours, or special operations. Tick the features the user needs.

  • Basic access
Viewer: access the AGOA Station view without the ability to input or edit information.
Editor: input or edit information in the AGOA Station view.

  • 48H
Viewer: access past flights (more than 48 hours old) in the Station view.
Editor: edit past flights (more than 48 hours old).

  • Chat
Viewer: read the messages in the AGOA chat of a turnaround.
Editor: also write messages in the chat.

  • Report
Viewer: access the reports in the Station view.
    Editor: edit and send reports.

  • Flight information (Viewer only): access the arrival/departure tabs in the Station view.

  • Pax scan (Viewer only): see the list of passengers (PAX) scanned for each departure.

  • Special operations (Editor only): trigger special operations in the Station view (for example, crew change or remote parking stand).

  • TFDM (Editor only): enter an estimated departure (ED) from AGOA and share it with a local departure management system, or with an airline's OCC (operations control centre).

What each Invoicing permission gives

  • Contracts
    Viewer: view contract rules.
Editor: view and modify contract rules.
With this permission alone, the user cannot view the invoices per turnaround.

  • Invoices
    Viewer: view invoice calculations.
Editor: view and modify invoice calculations.
With this permission alone, the user cannot view or modify the contract rules the invoice is based on.

Other interfaces

  • Analytics (Viewer, Basic access): get access to the Analytics platform to explore your questions and track KPIs. Analytics must first be deployed for your company by your Tarmac account manager. The account manager then gives the Analytics permission (Viewer) to at least one user of your company, who can give it to the other users of the company.

  • Compliance: a separate interface for station self-assessments (self-audits). Use it to prepare IATA IOSA audits, or to follow the quality of a specific service. Compliance is a paid add-on. If it isn't available at your company, contact your Tarmac account manager for a presentation and to deploy it. If your company already has it, the user may simply not have the permission yet.

  • FIDS: a view included in AGOA that shows all the ground operations of a whole station network on a single screen.

  • OCC: Viewer can access the OCC view without the ability to input or edit information. Editor can input or edit information in the OCC view.

  • Station Journal: Viewer can access the Station Journal without the ability to input or edit information. Editor can input or edit information in the Station Journal.

I can't see a permission in the list

You can only give a user the permissions that you have yourself. If a permission is missing, there are two possible reasons:

  1. You don't have this permission yourself. Ask your AGOA administrator, or contact [email protected].

  2. Your company doesn't have access to this interface. Some interfaces, like Analytics and Compliance (a paid add-on), must first be deployed for your company by your Tarmac account manager. In this case, contact [email protected]: Tarmac support can open the rights for the AGOA administrator at your company.
